Required Preparation for

Taking Care of Business in the International School

Miami: 4-8 July 2008

Prior to the course, please collect and bring the following documents and data, if possible.  We will be using the data for activities during the course and preparation of your strategic plan(s). We understand some data may not be available, however bring what you are able to collect.

The course is designed to be practical, interactive and focused on best practices that will result in successful implementation at your school. Having real data from your school will make your plan as practical as possible.

1. MARKETING/ADMISSIONS:  Bring two (2) copies of the following:

A.  Strategic Marketing Plan if available

B.  All promotional materials

                Print/Electronic

         School-wide: view books, brochures, CDs, admissions packets, programs, handbooks, invitations for open house, - all school communications.

         Parent and student newsletters (2 separate editions)

         Other marketing items:  ads, news articles, flyers, etc. 

         Vision statement

Website

Collect the following website data: 

         Color copy of your homepage, key entry pages,  e.g. schools, athletics, and admissions, departments, PTA section, etc.

         Color copy of the 6 most viewed web pages. If possible, ask your IT Office to identify the top 6 most viewed pages for “unique hits” or first-time visitors.      

C.  Bring Admissions Office materials, forms, policy:     

Admissions Data to bring:

         Number of Inquiries per year?

         Number of tours or visits by shopping families?

         Number of new students

2.  FUND-RAISING:  Bring:

         Strategic Development Plan or similar document(s), if available.

         All fund-raising materials and documents: e.g. letters to donors, annual fund, special events, major gifts, other.

         List of top 10 corporations or employing organizations that employ the parents of the children enrolled at your school

         The organizational structure for fund-raising including staff, board of trustees, administrative structure, and volunteers, if any.

         Policies related to fund-raising.    

3. ISSUE OR CONCERN: 

Briefly describe in writing  (no more than one page) one “vignette” related to marketing, admissions or fund-raising that you would like to problem-solve with other course participants.  The vignette could be an issue, concern, situation, training or other challenge related to the course and your school. 

Note: If your school has additional information you have gathered such as surveys, focus groups, or studies you are encouraged to bring those with you. We have planned activities that will use all available data to produce your strategic plans.
